LedgerFlow AI (Pty) Ltd ("LedgerFlow", "we", "us", "our") is committed to protecting the privacy and personal information of all individuals who interact with our platform, website, and services. This Privacy Policy explains how we collect, use, store, and protect personal information, and sets out your rights as a data subject under the Protection of Personal Information Act 4 of 2013 (POPIA) and, where applicable, the General Data Protection Regulation (GDPR).
LedgerFlow AI (Pty) Ltd is a South African company that provides enterprise ledger and payment infrastructure software. We are the Responsible Party (as defined in POPIA) for personal information collected through our website and platform demonstration environment. Our clients who deploy LedgerFlow in their own environments act as independent Responsible Parties for the personal information they process using the platform.
Marketing website (this site). This is a static informational website. It uses no analytics, advertising, or third-party tracking, and sets no cookies. Your theme preference (light or dark) is stored locally in your browser and is never transmitted to us. Web fonts are served from our own servers, so visiting the site does not send your IP address to any third-party font or content-delivery network. Our web servers keep standard access logs (including IP address and browser type) for a limited period, solely for security, abuse-prevention, and operational purposes.
Trial / demonstration environment. When you sign in to the trial environment at ui.ledgerflow.ai, we use a single session cookie that is strictly necessary to keep you logged in. It is not used for tracking.
LedgerFlow does not collect or store actual financial transaction data, customer ledger records, or any data processed by clients in their own deployed instances. Client-deployed instances operate in isolated environments under the client's own data governance.
We use personal information for the following purposes:
We process personal information on the following grounds:
We do not sell, rent, or trade personal information. We may share information with:
Our website also links out to third-party services — Calendly (demo scheduling), LinkedIn, and our trial environment at ui.ledgerflow.ai. When you follow these links, any information you provide is handled under those services' own privacy policies. We do not embed third-party tracking, advertising, or analytics scripts on this website.
Where personal information is transferred outside South Africa (for example, to cloud service providers or scheduling platforms), we ensure that appropriate safeguards are in place as required by POPIA and, where relevant, GDPR.
We retain personal information only for as long as necessary for the purposes set out in this policy, or as required by law. Trial account data is deleted 90 days after account closure. Communication records are retained for 3 years for legal compliance purposes.
Under POPIA, you have the right to:
To exercise any of these rights, please contact us via our LinkedIn page or through the booking link on our Contact page.
We implement appropriate technical and organisational measures to protect personal information against unauthorised access, loss, destruction, or disclosure. Our trial environment uses JWT authentication, role-based access control, and trigger-based audit logging — the same controls we build into the LedgerFlow platform itself.
Our marketing website sets no cookies and uses no advertising or third-party tracking cookies. The only data stored on your device is your theme preference (light or dark), kept in your browser's local storage — it stays on your device and is never sent to us or shared. The trial environment uses a single strictly-necessary session cookie to keep you signed in; it is not used for tracking. You may clear local storage or block cookies in your browser settings, though this may affect the trial environment's functionality.
We may update this Privacy Policy from time to time. Material changes will be communicated to registered users by email. The current version is always available at this URL.
For any privacy-related enquiries, please reach us via our Contact page or through LinkedIn at linkedin.com/company/ledgerflowai.
